Asset labels

A K-12 help desk that prints asset labels.

Code 128 and QR on Dymo and Brother rolls, Avery sheets or custom sizes, from the screen you are on.

No card, no sales call.

On the label

The tag, three ways.

Large type, Code 128 and QR, plus make, model, serial and district. The person only when you choose.

Beacon print preview of four Dymo 30252 labels, each with the asset tag, a Code 128 barcode, a QR code, the serial number, the model and the district name

The tag in large type

Readable across a cart. cb-10042 and CB-10042 are one device.

Serial, make, model

The serial under the barcode, make and model on one line.

Your name, short

A short form like “LUSD” fits small stocks: Admin → Settings → Asset Labels → District name on labels.

The person, when you choose

Show on the label → Person adds the holder's name, Location the site and room. How to choose.

Stocks

Five stocks to buy, one to measure.

Beacon remembers your last choice.

Where you print

From the screen the work happens on.

No labels module. The button is wherever the device just appeared.

One device, on demand

The printer icon in the device page header, or More → Print Label.

A selection

Tick devices on Assets, or Select all, then Print labels in the bottom bar.

Everything an import created

The import result offers Print labels for the N new devices.

One after each scan

In the scanner, tick Print a label after each scan. Each label opens, print dialog up.

Sheets and copies

Sheets from a partially used page.

A sheet with the first row peeled off is still a sheet.

Start at label

Where printing starts, counted left to right, top to bottom, skipping peeled labels.

Copies

Each label up to 10 times in a row: the device and its charger.

Exact pages

What the browser will print, nothing else. Back returns to the list, filters intact.

Scan and print

At a counter, or on a phone.

The scanner that checks out and places devices prints as it goes.

At the bench

Scan or type the tag. Pick the printer and its paper size: Dymo “30252 Address”, Brother “29mm x 90mm”.

From a phone

The phone's print sheet: a Brother QL with AirPrint, or a Dymo or Brother shared from a Mac.

With the iOS app

In testing on TestFlight. Reads Code 128, QR, Code 39, Code 93 and Data Matrix, and prints through AirPrint.

Codes

Both codes, drawn in the browser.

No label service, no code generator, no call to another server.

Code 128

What most barcode scanners read out of the box, with check symbol and quiet zones.

QR to the device

A phone camera opens the device page: holder, location, history and open tickets.

Beacon's own encoders

Written to the Code 128 (ISO/IEC 15417) and QR specifications, covered by Beacon's test suite.

Every setting here is in the labels guide. Rooms and carts: Chromebook asset management for schools.

Questions

Asked by the technician with the label printer.

Which label printers work?

Any printer the computer can print to. The stocks are laid out for Dymo LabelWriter printers (30252 and 30336), Brother QL printers (DK-1201), and any laser or inkjet printer on letter paper (Avery 5160 and 5163). A custom size covers any other roll label from 0.5 to 8.5 inches. The printer's own driver must be installed on the computer that prints; the browser prints through it like any other printer.

Do we need Dymo Connect or a plugin?

Only the printer's own driver, which is what Dymo Connect or the Brother driver installs. There is no Beacon plugin, extension or agent. The print page is a preview of the exact pages the browser will print; Print opens the browser's print dialog.

Our Avery sheet prints shifted.

In the print dialog choose letter paper, set margins to none and scale to 100 percent. Fit to page shifts the grid. Start at label skips the labels already peeled from a partial sheet, counted left to right, top to bottom.

Our asset tags are long.

The page warns when a tag is long enough that its Code 128 bars would print too fine to scan reliably on the chosen stock. Switch the QR code off to give the barcode more room, or choose a wider stock. A custom label too narrow for a QR code beside the barcode prints without one and says so.

What about devices that have no asset tag yet?

A device without a tag uses its serial number as the tag, so the label still scans. Chromebooks synced from Google Admin use the annotated asset ID as their tag, or the serial when there is none. To tag a batch first, paste a sheet of serial numbers and asset tags into Admin → Import; the result offers labels for every device it created. Pasting from a spreadsheet.

Is the student's name on the label?

Only when you choose. A label always carries the asset tag, its Code 128 barcode, a QR code that opens the device in Beacon, the make and model and your district’s name. The serial number is on by default. On the print page, Person adds the holder’s name on its own line, Location adds the site and room, and Space for a name keeps a blank line on devices nobody holds. With Person off, a lost device shows the district and a tag, not a person.

Can we print from the iOS app?

Yes. The iOS app is in testing on TestFlight; in it, Print mode on Scan collects each scanned device and sends the labels through AirPrint, and a device's card has Print; choose the printer and label stock once under Label Settings, and the print dialog can be skipped. An AirPrint printer works: a Brother QL with AirPrint (QL-810W, QL-820NWB, QL-1110NWB), or a Dymo or Brother shared from a Mac. A Dymo shared from a Windows PC is not offered to a phone. In a phone's browser, Print opens the system print sheet instead.

How many labels can we print at once?

A selection on the Assets list is the page in front of you. An import job prints labels for every device it created, up to 5,000 by tag, and the page says so when there are more; print the rest from the list. Copies prints each label up to 10 times in a row, for a device and its charger.

Does any label data leave Beacon?

No. The barcode and QR code are drawn in the browser by Beacon's own encoders, written to the Code 128 and QR specifications; nothing about your devices is sent to a label service or a code generator. The QR code links to the device's page in your Beacon organization, which asks for sign-in if needed.

What does label printing cost?

Nothing extra. Labels are part of the devices module, which every plan has, Starter included. Starter is free for good for one school with up to 1,000 devices; District is $1 per student per year with unlimited devices and a $900 per year minimum. Pricing.

How does this compare with Incident IQ's labels?

Incident IQ's community answer of January 2022 says it prints 3-1/2 by 1-1/8 inch labels and does not support label sheets for inkjet or laser printers. Beacon prints that Dymo size, the smaller Dymo 30336, Brother DK-1201, Avery 5160 and 5163 sheets and custom sizes. Check the current state with Incident IQ before deciding on it. Beacon as an Incident IQ alternative.
