Enterprise and on-premises

From $15,000 per year, quote-based.

Everything in District, on your own servers or in a private cloud, with a dedicated database, a custom service level agreement, and dedicated support.

How on-premises works

An agent works tickets: the owner, admin, and agent roles. Requesters, approvers, and report viewers are never billed.

District tiers

A quote is arithmetic.

Tiers apply marginally, like tax brackets, so there are no cliffs.

StudentsPer student per year
1 – 5,000$1.00
5,001 – 20,000$0.85
20,001 and above$0.70
Minimum$900 per year, for the whole district: IT help desk, 1:1 devices, and facilities work orders. A district under 900 students pays $900; from there it is $1 a student.
EnrollmentCalculationPer year
800800 × $1.00 = $800, so the minimum applies$900
1,8001,800 × $1.00$1,800
5,0005,000 × $1.00$5,000
12,000$5,000 + 7,000 × $0.85$10,950
20,000$5,000 + 15,000 × $0.85$17,750
40,000$17,750 + 20,000 × $0.70$31,750
Enrollment
Your latest official fall count from the state report or NCES, staff not counted. Charter networks and private school systems count the same way.
True-up
Once a year at renewal. Growth or decline within ±10% is never billed mid-term.
Price lock
Three years from signature, no escalator. After year three, any increase is capped at 5% per year.
Who qualifies
Public districts, charter networks, diocesan and private school systems, non-profit and tribal schools.

AI allowance

Included, with fair use.

Allowances are sized so a normal help desk rarely sees an overage.

One AI actionOne triage of one ticket, one suggested reply, one article draft, one deflection suggestion, or one natural-language report.
IncludedDistrict: 2 actions per enrolled student per year, pooled (5,000 students → 10,000 actions, roughly one per ticket for a typical district). Pro: 100 actions per agent per month, pooled. Starter: 100 per month, no overage. Enterprise: custom, or bring your own model key.
Overage$0.02 per additional action on Pro and District, billed monthly in arrears. Overage is capped at one month's allowance unless an administrator raises it. Owners are notified at 80% and 100%.
When it runs outEverything works manually. No ticket is ever blocked on AI.

Why so low

Priced from cost, not from the incumbent.

Our estimated cost to serve a 5,000-student district for a year, so a CFO can check the math.

Cost line, per yearEstimateWhy
Cloud infrastructure$50 – $100One multi-tenant deployment serves thousands of organizations; per-tenant infrastructure is single digits of dollars a month.
AI inference$150 – $300Roughly $15 – $30 per 1,000 triaged tickets; about 10,000 AI actions a year at this size.
Support and migration$400 – $800Self-serve import wizard and email support.
Payments, invoicing, insurance$100 – $150
Cost to serve≈ $700 – $1,350Against a $5,000 price.

Estimates, updated as we learn. One deployment for every customer, no module packaging, no professional-services team (provisioning, SSO, and import are product features), and self-serve first so a small team can cover a state.

For the business office

Terms you can read in a minute.

Invoicing
District and Enterprise: annual in advance, purchase orders accepted, net-30 for public entities. Pro: monthly or annual.
Renewal
Same term, and your billing contact gets the exact amount 90 days before an annual District or Enterprise term renews and 30 days before any charge. If the price would rise, the notice says so and you can cancel at no cost.
Cancellation
Any time, in Settings or by email to billing@beaconhelpdesk.com, with no fees and no notice on monthly plans (30 days on annual). Your organization moves to Starter with data intact, or we delete it on request.
Refunds
Cancel within 30 days of an annual renewal and it is refunded in full.
Taxes and W-9
Taxes are additional where they apply, and tax-exempt organizations provide a certificate. W-9 on request.
Cooperative purchasing
Not yet on TIPS, BuyBoard, Sourcewell, or E&I. Ask for current status.
Agreements
A signed order form or district agreement takes precedence over the online terms where they conflict. Student data privacy agreements, including state model agreements, are signed on request.

The binding text is the Terms of Service.

Questions

Asked often.

Do you accept purchase orders?

Yes. District and Enterprise plans are invoiced annually in advance against a purchase order, with net-30 terms for public entities.

Can you provide a W-9?

Yes, on request. Email hello@beaconhelpdesk.com.

Are you on a cooperative purchasing contract?

Not yet. Cooperative vehicles are on the roadmap so a district can buy without its own RFP. Ask for the current status.

Can we cancel at any time?

Yes. One click in Settings or one email. No cancellation fees, no retention offers to decline. Monthly plans need no notice; annual plans need 30 days. Your data stays exportable for 90 days.

Will we be surprised by a renewal?

No. You get a reminder 90 days before an annual term renews and 30 days before any charge, with the exact amount. If an annual plan renews and you cancel within 30 days, it is refunded in full.

What happens if Beacon ever shuts down?

At least 90 days' notice by email, with Beacon running normally the whole time. You can export all of your data in open formats until the end, and any fees you prepaid for the time after it are refunded. Section 14 of the Terms of Service makes this a promise.

What counts as an agent?

Anyone who works tickets: owner, admin, and agent roles. Students, staff, parents, employees, and citizens who submit requests are requesters and are never billed. On District plans, agents are unlimited.

What happens when the pilot ends?

You sign at the published price, or you export your data. There is no automatic charge. An organization that does not sign moves to the free Starter plan with its data intact; anything above Starter limits is kept and never deleted, and nothing new can be added above a limit until you sign.

Is AI extra?

No. Every paid plan includes an AI allowance sized for normal use. Overage is $0.02 per action, capped and notified. Administrators can turn AI features off.

Is there a per-device or per-requester charge?

No. Devices and requesters are unlimited on every paid plan. Starter includes up to 1,000 devices.

Does migration cost anything?

No. Admin → Import takes Incident IQ CSV exports of users, devices, and tickets (what it recognizes). Migration from Spiceworks, Freshservice, Web Help Desk, or spreadsheets uses the same wizard with generic CSV.

How is "enrollment" defined?

Your most recent official fall enrollment count from the state report or NCES. Staff are not counted. It is trued up once a year at renewal.

Do we need a sales call?

No. Watch the 60-second demo, start a free pilot yourself, and email us with anything else. Questions are answered by a person, by email, within one business day.
